From Hobby to selling throughout the US

Bookkeeping always seemed to be the last task of a vicious cycle at Shertzer Equipment Group. “It was a constant struggle to get it done on time,” said Wendell Shertzer. “There wasn’t enough to give someone a full-time job, so training was always needed as people came and went through the years.” 

Although operating as a part-time hobby for several years before, it was in 2017, that Shertzer Equipment Group began to pick up pace. An added benefit was that Shertzer’s family business in lawn care had seasonal employees that could help with cleaning and refurbishing equipment in the winter off-season. Since then, the company has been buying and selling heavy equipment throughout the US. They specialize in both the agricultural and construction markets. On any given day, you would find tractors, loaders, skid steers and excavators in their inventory. Shertzer noted that his “love of equipment” began with his machinery experience in the family business.

Positioning themselves as the alternative to buying new, they are a lean operation that concentrates on purchasing lightly used late models, low hour dealer, and end-user trade-ins. Mechanical repair and equipment transportation are outsourced to save money. As efficient as their business operations were, bookkeeping was not a core focus and was often divided among various people through the years.

Finding a Better Way

In the fall of 2020, when Shertzer saw an article in the Plain Communities Business Exchange magazine, he contacted Gehman Accounting to see how they might be able to help. He was assured that bookkeeping for small businesses was a key service they provide. When Shertzer asked about the possibility of doing it remotely on his business computer, he learned that remote work was also a normal part of their services.

Now, like clockwork every Thursday by noon, Shertzer scans and emails documents directly to Gehman Accounting. By that afternoon, the bookkeeper enters all data, pays bills and does any reconciling needed. “The process is consistent and disciplined,” said Shertzer. “They are on top of their game in keeping my books clean. It makes for effective tracking.”

Resolving Complicated Inventory Tracking

Tracking inventory was another complicated process. Shertzer was using a spreadsheet, but keeping things current was always a struggle and caused delays in closing out each financial period.

Again, Gehman Accounting stepped in to help. In 2022, they approached Shertzer about the inventory process. “We’re always looking for ways to make things simpler for both clients and bookkeeper”, said the department supervisor. “We also try to make sure things are straightforward enough that anyone can step in and take care of it without needing to spend a lot of time figuring out the process if the normally assigned bookkeeper is out of the office.”

A phone call was scheduled with Shertzer, the bookkeeper, and the supervisor to see what could be done. A short hour later, a plan was in place to eliminate the need for the spreadsheet and to track the inventory in QuickBooks. “I was glad they were proactive in approaching me about it,” Shertzer said. “We agreed to try it for a few weeks and have another call to see how it was working on both sides.” Now there is a good system in place and the bookkeeping is even more efficient and timely.

Positive Results

Having Gehman Accounting take care of the bookkeeping allows Shertzer Equipment Group to maintain positive relationships with their vendors by getting them paid on time. It also allows Shertzer to focus on what he enjoys, buying and selling machinery, rather than spending time tracking accounts payable and accounts receivable.

When asked about the value, Shertzer replied, “They aren’t a big-ticket item for our budget. I would easily spend two or three times the amount of time if I were to do my own bookkeeping.”

Shertzer finished with, “God has been good to us. We are doing our best to be good stewards of what the Lord has given us. Gehman Accounting has been a part of that journey.”
